To enhance our successful Sales Greater China Team in China in Shenzhen, we are looking for a passionate

 

Office Manager

 

Your Responsibilities

  • Support and assist the Management in their administrative function, set-up & planning of the company and all Sales offices (including Taiwan Office, Shenzhen Office, Japan Office etc.)
  • Manage the day-to-day administrative functions of the office. Support Sales Director and Sales team on schedule planning, filing, reporting and travel arrangement
  • Organize & facilitate meetings (e.g. the Management, Management Meetings or Shareholder Meetings), prepare content, keep meeting minutes and manage related databases. Prepare presentations and reports as needed
  • Serve as point of contact between the company and the Austrian based AT&S Headquarters and other AT&S Group entities
  • Oversee and manage Finances of company (Accounting and Controlling, close collaboration and coordination with AT&S Headquarters; support AT&S Group Functions with their task (e.g. reporting)
  • Contact partner for local tax firm, compiling required data and timely filings in collaboration with CPA firm and Group Tax; Monitor and complete jurisdictional filings by posted deadlines
  • Manage HR matters in close alignment with the of Management and AT&S processes & procedures, provide support for local organization in various HR Operations related topics, oversee the local operative human resources responsibilities and activities. 

Your Profile

  • College degree in business administration or extensive experience in relevant business matters
  • Minimum of 3+ years of office management experience (including finance, controlling & HR experience)
  • Minimum 3 years’ experience working in a professional office environment in a similar industry preferred
  • Knowledge of local laws in relation to employment (e.g. equal employment opportunity, employee leave)
  • Ability to work independently and pro-actively & to liaise with a number of different stakeholders (management, employees, vendors, outside service providers, internal clients, AT&S Group functions)
  • Ability to understand and apply Company policies and ensure adherence to Company separation of duties and control
  • Advanced Working Knowledge of Microsoft Word, Excel and PowerPoint are required.
  • Travel Management Experience
  • 3+ years of experience in/as Office Manager, Finance & Controlling, Accounting
  • Initiative, reliable, loyal and discrete
  • Organizational and problem solving skills
  • Attention to detail
  • Leadership and the ability to ‘make things happen’
  • Proficient in Microsoft Office, experience with other software packages (e.g. SAP – for Accounting) being a strong plus
  • Excellent interpersonal and time management skills
  • Team player: Ability to interact professionally with a culturally diverse staff and client base
  • Strong verbal and written skills
  • Fluent in English, Chinese and Japanese (written and oral communication)
